Within the visa procedures we provide, one of the translation services that is frequently carried out
is the sworn translation of a payslip. This procedure is essential to show part of your income when
applying for some visas such as the Nomad visa in Spain, as well as to submit your income tax
return.
In today’s post we will explain in detail what a payslip consists of and what elements it has. This
may be useful as well if you want to compare payslips from different countries. We will explain
below the Spanish model.
What is a payslip?
A payslip is a document that certifies and display the salary paid by the employer to the employee.
This document specifies the relationship between employer and employee, remuneration and the
amount of tax deductions. It is mandatory that the employer present an individualized payslip for
each of the salary payments to the employee.
What structure does a payslip have?
A payslip has a specific structure and characteristics, as it must follow the model approved by the
Ministry of Labor and Social Economy. This must include:
- The identifying data of both parties (company and employee)
- The settlement period: that is, the days worked for which compensation is paid on the payslip
(normally one month). - Earnings: these are the income that the employee will receive. Within this section are salary
payments such as base salary or overtime, and non-salary payments, such as compensation,
allowances, etc. - Deductions: this part records the employee’s contributions to Social Security and personal income
tax withholdings, among others. - Net balance: after reestablishing the deductions to the accruals, the final amount that the worker
will receive is obtained.
What procedures require the sworn translation of a payslip?
Companies are increasingly seeking internationalization and there are many cases in which a
company located in a single country hires foreign workers or collaborates with companies from
different countries. In these cases, the payslip needs to be translated not only so that the employee
fully understands the content, but so that they can present this document to official authorities
when paying taxes.
In general, a sworn translation of a payslip is needed for any procedure in which income must be
justified.
As mentioned before, payslips are important when submitting your tax return. Next month, April, in
Spain will start the period to submit it, we will tall a little bit about it and about translating it.
